Job Description
Overview The Huntsburg Office Coordinator serves as the primary administrative support professional for the Huntsburg campus and is often the first point of contact for students, families, staff, and visitors. This position is responsible for managing front office operations, maintaining student and staff records, supporting attendance tracking, coordinating communications, and ensuring efficient day-to-day administrative functions. The Office Coordinator reports to the Campus Directors and supports the mission and vision of Hershey Montessori School while fostering a welcoming, organized, and professional environment. Responsibilities Manage day-to-day office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth Oversee schedule management for staff meetings, events, and school activities to ensure smooth coordination Supervise administrative staff and provide training & development opportunities to foster a high-performing team Coordinate event planning for school functions, parent meetings, and community events to ensure successful execution Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers Oversee filing systems, record keeping, and clerical tasks to uphold compliance and organizational standards Qualifications High school diploma or equivalent. Prior administrative, office, customer service, or school office experience. Strong written and verbal communication skills. Excellent organizational and time-management skills. Proficiency with Microsoft Office 363 (Outlook, Word, Excel, Teams), or similar programs. Ability to manage multiple priorities in a fast-paced environment. Ability to maintain confidentiality and handle sensitive information. Ability to become trained and authorized to administer student medications.
