Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team. Responsibilities Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office application Support office management activities by coordinating supplies, scheduling appointments, and handling correspondence Provide customer service and client communication support by addressing inquiries promptly and professionally. Proofread documents for accuracy and clarity while maintaining high standards of professionalism in all written communication. Coordinate schedules, meetings, and appointments. Prepare reports, spreadsheets, presentations, and operational documents. Maintain organized records, files, and company documentation. Assist with project coordination and track deadlines and deliverables. Communicate with vendors, customers, and internal departments on behalf of the Operations Manager and CEO. Monitor inventory, supplies, and purchasing requests as needed. Assist with employee onboarding paperwork, scheduling, and administrative tasks. Help develop, update, and maintain operational procedures and documentation. Collect and analyze operational data to support decision-making. Follow up on outstanding tasks and ensure projects remain on schedule. Handle confidential information with discretion and professionalism. Perform other administrative and operational duties as assigned. Experience Prior experience in an administrative or clerical role with a strong foundation in customer service Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data organization Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Excellent phone communication skills with knowledge of multi-line phone systems and phone etiquette Proven computer literacy including data entry, proofreading, filing, and general technical proficiency in productivity software Must be dependable while maintaining the highest degree of confidentiality Join us to be part of a vibrant team where your organizational talents will make a real difference.
