It means being responsive, paying attention to the details, following through, and making sure things get done. As a small office, this position wears many hats. You will be an important connection between our customers, sales team, and field crews by answering calls, scheduling crews, responding to emails, preparing invoices, helping resolve customer needs and other office duties. The right person enjoys working with people, takes ownership of the customer experience, and understands that the details behind the scenes are an important part of providing excellent service. Our team values accountability, efficiency, and pride in our work. We're looking for a proactive Office Coordinator who can take ownership of their role and help drive day-to-day operations forward. Key Responsibilities Answer phones and provide friendly, professional, and responsive customer service Respond to customer emails, questions, requests, and concerns and ensure appropriate follow-up Serve as a point of communication between customers, sales, office staff, and field crews Schedule and dispatch crews and communicate scheduling changes to customers Assist with estimates, proposals, and customer follow-up Track job progress and help keep customers informed throughout the process Prepare, review, and send accurate and timely invoices Maintain accurate and organized customer and job records Follow up on outstanding invoices and assist with accounts receivable Use company technology and software to manage customer, scheduling, job, and billing information Support payroll preparation and basic bookkeeping Order office and field supplies as needed Handle general office and administrative responsibilities Pitch in with other needs as they arise in a small office environment Qualifications 3+ years of experience in office management, administrative support, or similar role Experience in home services, landscaping, construction, or related field preferred Proven ability to work independently and take initiative as a self-starter Strong attention to detail, especially with invoicing and data accuracy Excellent organizational and multitasking skills Strong communication and customer service abilities Proficiency in Microsoft Office and/or scheduling/CRM software Preferred Skills Experience in home services, landscaping, construction, or related field beneficial Strong organizational and multitasking skills Excellent communication and customer service abilities Experience with invoicing and accounting software (e.g., QuickBooks or similar) Proficiency in Microsoft Office and/or scheduling/CRM software Ability to work independently and problem-solve effectively Compensation & Benefits Competitive salary based on experience Paid time off and holidays Opportunities for growth within the company Supportive, team-oriented work environment
