Job Description

The Office Manager is responsible for coordinating financial services for individuals with developmental disabilities in a supported living environment. The Office Manager has direct oversight and responsibility for all financial services provided to people ACE serves. The Office Manager works closely with team leaders, companions and direct support professionals to ensure that each individual's financial record and eligibility is maintained. The Office Manager also serves as administrative support to the office. Continued employment requires successful completion of all training as required. Continued employment is contingent upon acceptable results of criminal background check. Hours of work are basically 9am to 3pm, Monday - Friday. However, the Director may request a change in hours or an increase in hours on an as needed basis.
Examples of work performed:
Responsibilities related to maintaining a case load: Coordination and oversight of maintaining current data in the individual's record, including but not limited to: individual profile, emergency contact numbers, protected health information, release and consent forms, daily progress notes, monthly reviews, MARS and physician orders. Ensuring staff compliance with the Health Insurance Portability Accountability Act of 1996 (HIPAA).
Manage local accounting:
check book, client financial records, receipts, etc. Maintain positive communication with family members, guardians, staff, and Regional Center personnel about policies, issues, and/or concerns. Submit monthly personal spending logs to the case managers. Submit quarterly personal spending logs to the regional center.
Maintain administrative duties:
faxing, computer operations, copying, notes, paying bills, reciepts. Update Quickbooks on a daily basis Maintaining communication with landlords about changes and repairs to the home Performs other related work, as assigned by the Director. Provide orientation training and do new hire paperwork with new employees Preform background screenings Keep confidential information in compliance with HIPAA law. Provide 30 days notice of planned termination of employment. Additional duties related to
Payroll and Billing:
Calculating mileage Calculating reimbursments Entering payroll into Regions Payroll system Enter billing in excel file Internal QA on all financial matters
Job Requirements:
High School Diploma/GED Bachelor's Degree (Preferred) Ability to pass a background check Time management skills Tremendous work ethic

$17.00 - $18.00 per hour
