This is an important role in our small business. The Office Coordinator will work directly with the owner to take new job information, enter it into our job-tracking system, and help keep each job organized and moving through the different stages of the process—from the initial order through completion, invoicing and filing. We're looking for someone who enjoys keeping things organized, pays attention to details, follows through on unfinished tasks, and can help create simple systems that keep paperwork and information from falling through the cracks. What You'll Do Enter new jobs into our job-tracking system and maintain accurate job information Keep job information organized and updated as projects move through different stages Prepare and send customer invoices Record and track customer payments Follow up on outstanding invoices, paperwork and information Organize and maintain digital and physical job files File and organize receipts, invoices, purchase orders and other business paperwork Help prepare and organize records for our outside bookkeeper Prepare, submit and track sign permit applications Communicate with municipalities regarding permits and required documentation Follow permits through the approval process and help coordinate required inspections Maintain customer correspondence, approvals, purchase orders and other job documentation Request, send and keep track of Certificates of Insurance (COIs) when needed Communicate professionally with customers, vendors, municipalities and company personnel Identify missing information and follow up to keep jobs moving Help develop and maintain simple, effective systems for keeping the office and paperwork organized What We're Looking For The right person for this position is someone who is naturally organized and takes ownership of their work.

You should be:

Dependable and consistent Highly organized and detail-oriented Comfortable managing multiple jobs and tasks at different stages Good at following through without needing constant reminders Comfortable working independently Professional and friendly when communicating with customers and government offices Comfortable using computers and learning new software Able to recognize when something is missing and take the initiative to follow up Willing to help improve filing, paperwork and office procedures when a better system is needed Experience with office administration, project coordination, construction or contractor offices, invoicing/accounts receivable, permitting, or QuickBooks Online is helpful, but sign-industry experience is not required. Schedule Part-time, Monday through Thursday Our ideal schedule is approximately 8:30 AM-2:30 PM, or about 24 hours per week. We can offer some flexibility in start and end times for the right person. No Fridays. Pay $20

•23 per hour, depending on experience
