Job Description

Position Summary The Administrative Assistant / Front Desk team member serves as the first point of contact for clients, both in person and over the phone. This role is responsible for managing front office operations, scheduling appointments, assisting with client communications, maintaining records, processing documents, and supporting the accounting team with administrative tasks. The ideal candidate is dependable, detail-oriented, and comfortable working in a fast-paced environment, especially during tax season. Responsibilities Greet clients and visitors in a professional and welcoming manner Answer, screen, and direct incoming telephone calls Schedule, confirm, and manage client appointments Assist clients with document drop-off and collection Maintain client files and ensure accurate recordkeeping Scan, copy, file, and organize tax and financial documents Perform data entry with a high degree of accuracy Monitor and respond to emails and client inquiries Process incoming and outgoing mail Assist with billing, invoicing, and payment processing as needed Maintain office supplies and coordinate office organization Support tax and financial professionals with administrative projects Maintain confidentiality of sensitive client financial and tax information Help ensure a positive client experience throughout the tax preparation and financial planning process Qualifications & Skills Required Strong verbal and written communication skills Excellent organizational and multitasking abilities Proficiency with Microsoft Office, including Outlook, Word, and Excel Strong attention to detail and accuracy Ability to handle confidential information professionally Reliable attendance and punctuality Ability to work independently and as part of a team Preferred Previous administrative, receptionist, customer service, or office support experience Experience in an accounting, tax, bookkeeping, financial services, or other professional office environment Familiarity with scheduling software and office management systems Experience working with confidential financial or tax documents Ideal Candidate Friendly, professional, and dependable Customer service oriented with excellent interpersonal skills Self-motivated and detail-oriented Comfortable working in a fast-paced environment during peak tax season Able to prioritize tasks and manage multiple responsibilities effectively Willing to assist wherever needed to support clients and team members Expected hours: No less than 16.0 per week
