The Rudolph Libbe Group is seeking an Administrative Assistant to support the Business Development, Preconstruction, Project Management and Field Operations teams. This role is responsible for coordinating activities, maintaining databases and systems, supporting project pursuit efforts, and helping ensure the efficient operation of daily department functions.
JOB RESPONSIBILITIES
Manage calendars, schedule meetings, coordinate travel arrangements, and support department logistics. Prepare documents, correspondence, reports, and data entry as needed. Set up and maintain electronic project files and document management systems. Assemble proposals and assist with document production. Initiate check requests for memberships, sponsorships, and event registrations. Support departmental Teams channels and SharePoint sites. Maintain and update CRM database information, including contacts, companies, leads, opportunities, business development activities, and project closeout documentation. Assist with customer event planning, networking activities, industry organization memberships, and sponsorships. Coordinate ticket management for customer entertainment events and track usage. Manage promotional merchandise inventory, ordering, and distribution. Assist with maintaining resource schedules. SKILLS Strong organizational and time management skills with the ability to manage multiple priorities. Exceptional attention to detail and commitment to accuracy. Effective verbal and written communication skills. Customer service mindset with the ability to interact professionally with internal and external stakeholders. Strong administrative and project coordination capabilities. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Experience working with SharePoint and document management systems. Ability to learn and manage CRM, project management, and bidding software platforms. Strong problem-solving and follow-through skills. Ability to work independently while supporting multiple team members and departments. Comfortable handling confidential information with discretion. Experience coordinating meetings, events, travel, and logistics is preferred.
EDUCATION/EXPERIENCE
Minimum of 2-4 years of administrative experience in a related industry, preferred. A minimum of a high school diploma or GED is required. College education in business or construction management is beneficial. Experience supporting business development, sales, construction, engineering, professional services, or project-based teams is preferred. Experience with CRM platforms, project management software, construction bidding platforms, or document control systems is a plus.
