Job Description

Job Overview We are seeking a highly personable and organized Administrative Assistant to join our support staff, providing excellent and compassionate service to our clients. The ideal candidate brings exceptional organizational skills, a willingness to learn new software, and a passion for delivering outstanding customer service. Duties Manage front desk responsibilities, including greeting clients and directing phone calls using multi-line phone systems with professionalism and courtesy Maintain HIPAA compliance and confidentiality in all communications Provide medical insurance verification for clients, as well processing incoming insurance payments Perform data entry tasks accurately using TherapyNotes software for counseling offices Maintain client online files for insurance and payment information, as well as scheduling client appointments Provide exceptional support by responding promptly to client inquiries via phone or email, ensuring clear communication and positive interactions Maintain cooperative relationships with administrative and counseling staff Support document proofreading, editing, and formatting to ensure accuracy and professionalism in all correspondence Handle clerical tasks including copying, scanning, faxing, and managing incoming/outgoing mail with efficiency Qualifications Proven experience in an office environment Proficiency in Google Docs or similar software along with general computer literacy Experience with TherapyNotes or other counseling or medical practice software is a plus Prior experience with medical insurance billing is helpful Ability to master new software and office tasks Strong communication skills—both verbal and written—with a focus on phone etiquette and client communication Demonstrated ability to handle data entry accurately while maintaining attention to detail through proofreading and editing tasks Front desk experience is a plus, highlighting your ability to manage multiple responsibilities seamlessly Join us in our highly collaborative office, creating an efficient and warm environment for our clients and their therapists.
Pay:
$18.00 - $23.00 per hour Expected hours: 12.0 - 20.0 per week
