Job Description
We are looking for a bilingual administrative team member to support daily office operations for a wood and furniture manufacturing business in Vienna, Ohio. This contract-to-permanent opportunity is ideal for someone who enjoys being the first point of contact, keeping schedules organized, and ensuring communication flows smoothly across the office. The person in this role will help create a welcoming environment while providing dependable administrative coordination for leaders and staff.
Responsibilities:
- Welcome visitors, customers, and vendors with a courteous approach, and guide them to the appropriate contact or department.
- Manage front desk activity by answering incoming calls, routing messages, and addressing routine questions in a timely and effective manner.
- Provide day-to-day administrative assistance through document preparation, data entry, filing, and upkeep of business records.
- Arrange meetings and appointments, maintain calendars, and help assemble agendas, supporting materials, and follow-up notes.
- Handle incoming and outgoing mail, shipments, and deliveries to keep office correspondence and package flow organized.
- Partner with team members across departments to assist with clerical and operational tasks that support overall business needs.
- Monitor office supply levels, place replenishment requests, and help coordinate basic office equipment support when issues arise.
- Organize confidential files and maintain orderly records to support accurate documentation and efficient office operations.
- Take on additional clerical and administrative assignments as needed to help the office run effectively.
- High school diploma or equivalent is required.
- Associate's or bachelor's degree in a related area is preferred.
- Two to five years of experience in an administrative assistant, receptionist, or office support position is preferred.
- Bilingual communication skills in English and Spanish are preferred.
- Strong written and verbal communication skills with a customer service mindset and close attention to detail.
- Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint, as well as standard office equipment.
- Solid organizational, time management, and data entry skills with close attention to detail.
- Ability to manage multiple priorities independently in a fast-paced office environment while maintaining confidentiality.
