Job Description

The WIC Clerical Assistant supports the Women, Infants, and Children (WIC) program by facilitating smooth client flow and delivering a positive customer experience. Serving as the first point of contact for WIC clients, this position provides clerical and basic clinical support, including client registration, data entry, appointment scheduling, and collection of required measurements, while ensuring accurate documentation and excellent customer service.

Responsibilities, Deliverables, Outcomes and Expectations:
Mail appointment reminder cards to WIC clients. Prepare and maintain client charts in accordance with Ohio Department of Health (ODH) record retention requirements. Assist with typing, filing, faxing, copying, and other clerical tasks as needed. Maintain awareness of and compliance with agency and WIC program policies. Schedule client appointments. Register clients for participation in the WIC program. Enter and update client information accurately in the computer system.

Responsibilities, Deliverables, Outcomes and Expectations:
Answer phones courteously and professionally. Greet clients entering the clinic in a friendly and respectful manner. Interview clients to determine financial eligibility for WIC services. Verify Medicare, Medicaid, or other insurance coverage prior to client appointments. Obtain copies of required client documentation and file appropriately. Load WIC Nutrition Cards (WNCs) for clients. Collect accurate height, weight, and iron measurements prior to nutrition appointments.

Responsibilities, Deliverables, Outcomes and Expectations:
Attend WIC staff meetings. Participate in committees or meetings as assigned by the WIC Director. Complete required annual agency and program trainings.
Minimum Requirements Education:
High School Diploma or equivalent.
Job-Related Experience:
One (1) year experience in a medical or clinical setting with duties involving physical assessments and iron testing. Six (6) months clerical or computer-based work experience.
People Management Experience:
Not applicable.
Licenses, Certifications, and Accreditations:
None required. Preferred Qualifications One (1) year experience working in a WIC program. Working Conditions This position operates in a well-lighted medical office environment and is typically scheduled four (4) days per week, Monday through Thursday, 32 hours per week. The role involves low to moderate levels of stress and regular interaction with clients and healthcare staff.
