Job Description

Overview Our Administrative Support Assistant would be responsible for providing exceptional support to our Client Operations Specialists and Front Office Administrator. This position assists with smooth day-to-day operations while providing superior assistance & support to all individuals.
Office Hours:
Monday-Friday 9 AM - 5 PM Duties • Assist our Client Operations Specialists, including but not limited to: a. Review Prep - Pulling current values, statements and compiling documents per review prep protocols b. Assist with obtaining paperwork/forms c. Inquiry and follow-up calls d. Prep and pull appropriate client files when requested by the team e. Prepare new files/labels f. Copying/Scanning g. Outgoing FedEx/UPS shipments h. Prepare and mail thank you cards/envelopes • Assist our Front Office Administrator, including but not limited to: a. Greeting incoming clients, prospects, etc. in a professional manner, being sure each guest has a positive experience - offering beverages and making each guest comfortable b. Answer the phones in a friendly, warm manner c. Call, schedule and follow-up on prospects and clients as needed d. Maintain an organized, compliant and efficient filing system e. Copying, scanning, faxing as requested by the team f. Effectively use CRM system g. Managing advisor's calendars - appointment scheduling and rescheduling h. Reminder calls for appointments i. Planned events (planning, set-up, clean-up, etc.) j. Scheduling & managing travel plans, lunch reservations/meetings, etc. k. Maintain effective communication with all team members, vendors, clients, and prospects. L. Record notes from every client conversation in the database Skills High School Diploma required Experience in industry and front desk reception will receive priority consideration Proficient phone skills General office and customer service experience Familiarity with MS Office Suite General knowledge of computer and office equipment Experience working in fast-paced environment Positive attitude is a must Professional attire required daily Attention to detail is crucial Accurate spelling and solid verbal and written communication skills - able to deliver clear, concise information tailored to specific and varied audiences Relationship building skills Problem solving/creative thinking Ability to work independently Desire to support a team Strong work ethic, self-starter Ability to multi-task Ability to prioritize and work with a demanding team
