Job Description

We have an open administrative assistant position and the Sheriff will accept letters of intent until 7/24/2026 (Friday). The position will be Monday thru Friday from 0800-1700 hours with holidays taken on the day they fall (as adopted by the commissioners each year). It includes a one-hour lunch/meal break, around mid day. This opening has not been advertised outside of the office. Please read all of the duties and qualifications. The job duties but : Provide administrative support to all WCSO staff and visitors. Gather/Log paperwork to be delivered to the DA's office, daily Log bonds and other paperwork for the county clerk's office Deposits
  • prepare, reconcile daily and monthly reports to the treasurer's office Schedule, prepare and administer Sheriff Sales Transports
  • enter data, prepare monthly reports and billing for all prisoner transport both adult and juvenile Fingerprinting
  • schedule and collect monies for weekly fingerprinting and prepare/mail to OSBI or other entities as required
SDA Act:
Gather and verify all SDA applications are complete, send them to OSBI, and accept/reconcile all monies for background and other fees. Dept. of Corrections duties
  • enter and maintain all Judgement and Sentence paperwork, prepare and send billing/invoices, prepare monthly reports, coordinate DOC transports with transport and the detention center Purchasing
  • prepare and track all purchase orders (both sheriff and jail division), file, process receiving reports, verify delivery of all goods and services rendered for each purchase order, attend required training as needed, stay abreast of all legislative changes in purchasing and SA&I (auditor's office) Commissioner's Reports
  • prepare and send all monthly reports regarding prisoner populations and costs Inter-operability
  • maintain high level of professionalism, positive relationships with
ALL WCSO
employees, foster positive working relationships with other Washington County offices and their staff, aid and assist with the Washington County Sheriff Reserve unit and their projects and community relations activities And other duties as assigned
Qualifications:
Communication skills
  • ability to effectively, positively, and professionally communicate with staff, the public, legal professionals, etc. Mathematical skills
  • Ability to calculate figures and amounts such as discount, interest, commissions, percentages, proportions, and volume. Understanding and using fractions, ratios, and proportions in practical situations. Ability to use proper spelling, grammar, punctuation and vocabulary in all written and oral communication. Critical Thinking Skills
  • ability to solve practical problems and deal with a variety of know variables in situations where only limited standardization exists. Ability to interpret a variety of instructions both oral and written. Training/certificates/licenses
  • Notary Public (preferred) and
NIMS ICS
training modules 100, 200, and 700 Software Skills
  • Microsoft Word, Excel, Power Point, Publisher, typing
  • all at a basic and preferred intermediate to advanced level. Initiative
  • Ability to employ initiative to take on tasks and work in teams under minimal direction.
Developing methods to streamline daily operations that will enhance job performances, work results and improve customer service all while factoring in generally accepted accounting practices (GAAP) and state statutes.
