Job Overview We are seeking a professional, organized, and customer-focused Office Assistant to join our Property Management team! In this essential role, you will provide administrative support to the property management office while helping ensure daily operations run efficiently. You will serve as a key point of contact for residents, vendors, and team members by providing exceptional customer service, maintaining accurate records, and supporting leasing and property management activities. Responsibilities Greet residents, prospective tenants, vendors, and visitors in a friendly and professional manner Answer and direct incoming phone calls while providing outstanding customer service Assist with resident inquiries, work order requests, and general office correspondence Maintain organized electronic and physical filing systems for resident files, leases, and office documents Perform accurate data entry using property management software, Microsoft Office, and Google Workspace Support the Property Manager with calendar management, scheduling appointments, meetings, inspections, and vendor visits Assist with lease administration, document preparation, renewals, notices, and move-in/move-out paperwork Coordinate office supply inventory and order materials as needed Process incoming and outgoing mail, packages, and office communications Proofread correspondence and documents for accuracy and professionalism Assist with rent collection records, resident payments, and administrative reporting Support marketing efforts by responding to inquiries and assisting with prospective resident information Maintain confidentiality of resident, employee, and company information Perform additional administrative duties as assigned to support the property management team Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Strong computer skills with accurate typing and data entry abilities Excellent organizational and time management skills with the ability to prioritize multiple tasks Outstanding verbal and written communication skills Professional phone etiquette and customer service experience Experience with property management software (Yardi, ResMan, AppFolio, Entrata, or similar) is a plus Previous administrative, office assistant, or property management experience preferred Ability to maintain confidentiality and handle sensitive information with discretion Strong attention to detail and accuracy in document preparation and recordkeeping Ability to work independently while collaborating effectively with a team Bilingual (English/Spanish) is highly preferred Experience using office equipment including scanners, copiers, and multi-line phone systems Join Westwind Management and become an important part of a team committed to providing exceptional service to our residents and communities.
