Admin Assistant Position Overview We are seeking an organized, outgoing, and creative Club Administrator to support the day-to-day operations of our organization while helping strengthen member participation and grow our presence in the community. This position is ideal for someone who is comfortable communicating with people, takes initiative, understands social media, and enjoys helping bring events and organizations to life. The Club Administrator will work closely with club leadership to increase meeting attendance, improve member engagement, coordinate events, and expand the club's digital reach. Key Responsibilities Social Media & Digital Engagement Manage and maintain the club's social media accounts. Develop engaging content that highlights club meetings, events, members, projects, and community involvement. Develop strategies to increase followers, reach, and engagement across social media platforms. Understand how social media algorithms, trends, timing, hashtags, video content, and other platform features affect organic reach. Monitor social media performance and identify which types of content generate the strongest engagement. Create and maintain a consistent posting schedule. Help develop new ideas for promoting the club and its activities online. Member Engagement & Meeting Attendance Communicate regularly with club members regarding upcoming meetings, programs, events, and activities. Be comfortable personally calling members and prospective attendees to encourage participation in meetings and events. Follow up with members who have not recently attended and help keep them connected to the organization. Assist club leadership with strategies to increase meeting attendance and overall member participation. Help welcome guests and prospective members and facilitate follow-up communication. Event Planning & Coordination Assist with planning and executing club meetings, fundraisers, service projects, social events, and other special events. Coordinate with venues, vendors, speakers, sponsors, volunteers, and club members as needed. Help manage event timelines, registrations, communications, promotional materials, and other logistical details. Assist leadership in keeping event planning organized and on schedule. Club Administration Provide general administrative support to club leadership and committees. Maintain club records, calendars, membership information, and communications. Prepare and distribute meeting and event information. Become proficient with ClubRunner and use the platform to assist with membership records, communications, events, and other club functions. Assist with additional administrative projects as needed. Qualifications The ideal candidate will have: Strong interpersonal and communication skills. Confidence speaking with people by phone, email, text, and in person. A working knowledge of major social media platforms and a genuine interest in learning how to grow an organization's online audience. An understanding of social media engagement, organic reach, content strategy, and platform algorithms. Experience assisting with or coordinating events. Strong organizational and time-management skills. The ability to manage multiple projects and deadlines. A proactive attitude and willingness to take initiative rather than waiting for assignments. Comfort learning new technology and a willingness to become proficient with ClubRunner. Basic experience with digital design or content-creation tools is a plus.
