MINIMUM QUALIFICATIONS
Education
  • High School Diploma or GED equivalent is required. Experience
  • One (1) year of related experience is preferred. Licenses & Certification
  • Completion of a Secretarial Training Program or related education is preferred but not required. Knowledge & Skills
  • Ability to learn the procedures, formats and protocols of the assigned facility and the Muscogee Creek Nation Department of Health (MCNDOH).
Knowledge of personal computers and their applications in a Windows environment utilizing Microsoft Word, Excel, PowerPoint, etc. Ability to maintain a confident and professional demeanor, communicate courteously and effectively with executive-level staff as well as the public, both orally and in writing. Ability to exercise sound independent judgement, establishing work priorities. Ability to meet assignment deadlines and interpret established policies and procedures.
JOB SUMMARY
The purpose of the position is to provide administrative, secretarial and clerical support to administrative staff. Incumbent will be under the supervision of the Health System Administrator.
WORK ENVIRONMENT
Work is performed primarily in an office setting within an ambulatory hospital. Risk of exposure to infectious communicable diseases, potentially hazardous chemicals, and biohazardous materials is moderate. Must be aware of all risks involved and be willing to take precautions as requested and required.
PHYSICAL DEMANDS
Work is mostly sedentary requiring the operation of office equipment, answering telephones, filing materials, etc. Ability to handle adverse situations is required. Ability to lift up to 20 pounds.
ESSENTIAL FUNCTIONS
Satisfactory job performance will be determined by successful execution of the following: Prepares and types reports, memoranda and correspondence from written drafts, verbal instructions or dictation in accordance with format and style. Responsible for correct grammar, punctuation and spelling. Assists with file set-up and maintenance of filing system and/or file database. Picks up, receives and distributes Program mail, reports, letters etc. to appropriate party (ies). Perform general administrative and clerical tasks as directed. Prepare purchase requisitions for supplies and equipment necessary for the operations of the facility or program as directed by the Administrator. Monitors purchase orders for correctness and delivery. Assists in maintaining filing and reporting system. Responsible for accurate and timely compilation of data and reports as provided by the administrator. Attend all Staff meetings and prepares written documentation/or record of such meetings. Responsible for the keeping of minutes in all meetings. Performs reception duties answering the telephone in a courteous manner, taking/relaying messages, returning phone calls and related tasks. Assists in preparations for and/or arranges conferences/meetings. Secures conference accommodations, notifies participants, etc. Regular attendance is required. Performs other duties as required. Provide support through coordination of training forms, travel vouchers, request orders and various other documents. May manage GSA vehicle use and maintain required logs and data.
