Job Purpose:
The Front Office Coordinator at SPC LLC is responsible for managing the reception area, ensuring a welcoming and efficient environment for clients and visitors. This role involves coordinating front desk activities, handling inquiries, and supporting administrative tasks to enhance the overall experience and operations of the company.
Key Responsibilities:
Greet and welcome visitors and clients, ensuring a positive and professional first impression. Manage incoming calls, emails, and correspondence, directing them to the appropriate departments or personnel. Coordinate and schedule appointments, meetings, and conference room bookings. Maintain a tidy and organized reception area, ensuring all materials are up-to-date and available. Assist with administrative tasks such as data entry, filing, and maintaining office supplies inventory. Collaborate with other departments to ensure smooth communication and operations. Handle inquiries and provide information about the company's services and policies. Support the management team with various projects and tasks as needed. Ensure compliance with company policies and procedures in all front office activities.
Required Education:
High school diploma or equivalent; an associate degree in business administration or a related field is preferred.
Required Experience:
Minimum of 2 years of experience in a front office or administrative role. Proven track record of managing multiple tasks efficiently in a fast-paced environment. Experience in customer service or client-facing roles is highly desirable.
Required Skills and Abilities:
Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software. Ability to maintain a professional demeanor and handle sensitive information with confidentiality. Strong problem-solving skills and the ability to work independently as well as part of a team. Exceptional attention to detail and accuracy.
