Job Overview:
We are seeking a detail-oriented Administrative Assistant III to serve as the primary point of contact for the Vital Records Help Desk. In this role, you will provide frontline support to internal staff and external customers, troubleshoot issues, maintain accurate records, and help ensure the efficient operation of the Vital Records Program. The ideal candidate has strong customer service, communication, and problem-solving skills and thrives in a fast-paced environment while supporting critical public health services.
Qualifications:
Bachelor's degree in Public Health, Health Information Management, or a related field preferred. At least one year of experience in help desk support, technical troubleshooting, or a similar role. Familiarity with Vital Records workflows, including registration, issuance, and amendment processes for birth, death, and fetal death records, is a plus. Strong analytical skills with the ability to identify gaps and resolve issues efficiently. Excellent communication and customer service skills. Ability to work in a dynamic, service-oriented environment with multiple stakeholders. Comfort working in a fast-paced setting with competing priorities. Must adhere to dress code policy and be able to climb 8 steps to access the workplace. Intermediate to advanced technical skills required.
Responsibilities and Duties:
Serve as the primary point of contact for the Vital Records Help Desk, providing timely and accurate support to users of the ROVER (Registering Oklahoma Vital Event Records) platform and other tools. Monitor and respond to requests related to onboarding, offboarding, training, data quality, and platform support. Assess each request and either assign it to the appropriate team member or resolve it directly, ensuring consistent follow-through. Troubleshoot access, usage, and workflow issues, escalating complex matters when necessary. Coordinate and respond to internal training requests, assisting with scheduling, materials, and follow-up. Collaborate with internal teams to identify documentation gaps and support process improvements. Participate in the development and delivery of training resources, including webinars, virtual sessions, and written guides. Conduct user testing of platform updates and document findings to improve user-facing materials. Maintain awareness of current workflows and platform functionality to provide accurate support. Ensure compliance with applicable regulations and standards related to data accuracy, integrity, and reporting. Support cross-functional projects and initiatives to enhance operational efficiency. Provide administrative and programmatic support to leadership and team members as needed. Perform other duties as assigned, including special projects related to service delivery and documentation.
