Job Description
Position Summary The Office Assistant reports directly to the Office Manager and serves as a key member of the administrative team, providing essential support to the Office Manager, field operations, and corporate office personnel. This position is responsible for coordinating administrative functions, supporting accounts payable activities, maintaining operational reports, and ensuring the efficient day-to-day operation of the office. The ideal candidate is organized, detail-oriented, proactive, and committed to providing exceptional internal and external customer service. Essential Job Duties Provide administrative support to the Office Manager and field operations team, ensuring efficient day-to-day office operations. Manage front office communications by professionally handling incoming calls, visitors, correspondence, and document distribution. Process accounts payable invoices, maintain vendor records, reconcile statements, and assist with payment processing while ensuring accuracy and timeliness. Develop, maintain, and analyze spreadsheets and operational reports using Microsoft Excel to support business and field operations. Coordinate office services, supplies, mail, shipping, records management, and equipment to maintain an organized and productive work environment. Perform additional administrative projects and responsibilities as assigned while maintaining confidentiality and supporting company objectives. Qualifications Associate degree preferred; equivalent combination of education and relevant administrative experience will be considered. Five or more years of administrative or office support experience; oil and gas industry experience preferred. Strong accounts payable experience, including invoice processing, vendor communication, account reconciliation, and payment support. Advanced proficiency in Microsoft Excel, including formulas, data organization, reporting, formatting, and spreadsheet management. Proficient with Microsoft Office Suite, including Word, Outlook, and Excel. Strong understanding of general office and administrative procedures. Excellent organizational and time management skills with the ability to manage multiple priorities and meet deadlines. Exceptional attention to detail and a high degree of accuracy. Strong written and verbal communication skills. Professional demeanor with excellent customer service and interpersonal skills. Self-motivated with the ability to work independently and collaboratively in a team environment. Flexible and adaptable in a changing work environment. Reliable, punctual, and committed to maintaining confidentiality. Willingness to learn new systems and processes while supporting multiple departments.
