Job Description

POSITION SUMMARY
The Workplace Services Coordinator is responsible for supporting the day‑to‑day operational excellence of the corporate workplace environment. This role ensures office operations run efficiently, safely, and professionally by coordinating facilities services, mail and courier operations, vendor support, and shared‑space readiness. The ideal candidate is service-oriented, detail-driven, and comfortable working in a fast-paced environment while interacting with employees, visitors, and vendors at all levels of the organization.
JOB DUTIES AND RESPONSIBILITIES
Oversee daily incoming and outgoing mail operations, including receipt, sorting, distribution, and delivery of mail and packages in a timely and professional manner. Coordinate courier and shipping services with UPS, USPS, FedEx, and other service providers. Manage office supplies procurement and inventory, including ordering, tracking usage, and maintaining appropriate stock levels Support employee office moves and relocations, including coordination of furniture, equipment, and workstation identification. Manage work order requests through ServiceNow, ensuring timely coordination with internal teams and third‑party vendors. Maintain positive, professional relationships with workplace service vendors and partners. Assist with preventive maintenance programs for building systems and office equipment, including HVAC, sound masking systems, coffee machines, ice machines, and filter replacements. Troubleshoot facility issues and perform basic repairs to maintain a functional workplace environment. Manage onsite excess storage and coordinate logistics with offsite or third‑party storage facilities. Provide backup support for receptionist responsibilities, including welcoming visitors, answering phones, checking in vendors, and supporting onsite employees. Conduct regular workplace walkthroughs to ensure cleanliness, organization, safety, and adherence to housekeeping standards. Monitor and maintain conference rooms, ensuring readiness, functionality, and professional appearance at all times. Coordinate conference room setup requests and provide support for large meetings and catered events as needed. Maintain breakrooms and refreshment areas by monitoring inventory, restocking supplies, and ensuring consistent employee experience. Stock, organize, and maintain print and copy areas to support daily business operations. Perform additional duties as assigned to support workplace operations and departmental objectives.
MINIMUM ESSENTIAL QUALIFICATIONS
Minimum five years' experience supporting facilities, workplace services, or office operations in a corporate or professional setting. Strong written and verbal communication skills, and ability to interface with employees at all levels Demonstrates strong critical thinking, with the ability to assess issues and develop effective, practical solutions Must have a positive attitude and provide exceptional customer service to internal and external customers Must be proficient in the use of all Microsoft Office software modules, including Word, Excel, PowerPoint and others Must work with a minimum of supervision and be able to manage their time when given multiple tasks Available to work overtime during the workweek and on weekends when needed Regular and reliable attendance
PHYSICAL DEMANDS
Ability to lift, push and pull up to 50 pounds Ability to climb stairs Ability to move furniture and equipment as needed
