As a Bilingual Assistant, you will be the first point of contact, providing exceptional customer service, managing administrative tasks, and ensuring smooth office functioning. Your positive attitude and organizational skills will help create a welcoming atmosphere while maintaining confidentiality and professionalism at all times. Responsibilities Greet visitors Manage front desk duties including checking in clients, scheduling appointments, and handling incoming inquiries. Perform data entry and maintain accurate records using Microsoft Office applications and QuickBooks for bookkeeping tasks. Handle confidential information with discretion while supporting office management activities. Assist with calendar management, scheduling meetings, and coordinating appointments for staff members. Support clerical tasks such as filing, proofreading documents, scanning documents, scanning files, logging mail, calling vendors when equipment breaks, meeting with clients, translating forms to clients, mailing documents, mailing letters and organizing office supplies. Provide excellent customer service by responding promptly to client needs and facilitating effective communication between departments. Qualifications Bilingual proficiency in Spanish and English is required; excellent verbal and written communication skills in both languages. Prior office experience or administrative support experience is highly preferred. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with QuickBooks or similar bookkeeping software. Exceptional organizational skills with the ability to multitask efficiently in a busy environment. Data entry, filing, and managing calendars. Demonstrated ability to handle confidential information responsibly with high attention to detail. Excellent phone etiquette, customer service skills, and professional demeanor are essential.
