Job Description A tax and accounting firm in Gladstone serving small businesses, individuals, trusts, and estates is hiring a part-time Front Office Assistant to run our front office Monday through Thursday, 9:00am to 2:00pm. This is a client-facing role in a small, professional office. You will be the first point of contact for our clients and you will work independently for most of the day. We are looking for someone dependable who takes ownership of the front office rather than waiting to be told what to do. An answering service covers calls outside your hours and during overflow. Additional hours may be available during peak filing periods, January through April and August through October. What you will do Open the office and prepare it for the business day Answer and route incoming calls, take accurate messages, and log them in our system Greet clients and visitors and serve as the face of the firm Receive, date-stamp, log, and route incoming client documents Identify correspondence from taxing authorities and route it to the owner the same business day Schedule and confirm client appointments, send reminders, and collect pre-meeting documents Track outstanding client documents and follow up on items not yet received Process incoming and outgoing mail, scanning, and filing Maintain client records in our practice management system Assemble and package completed tax returns and financial statements for delivery Confirm engagement letter and payment status before releasing any client deliverable Order supplies and coordinate with vendors Provide basic client support on portal access, logins, and document retrieval What we are looking for Consistent, dependable attendance. This is a single-coverage seat and the schedule only works when it is covered. Comfortable working independently without close supervision Clear, professional communication by phone, email, and in person Discretion with confidential client financial information Proficient with Microsoft Outlook, Word, and Excel, and quick to learn new software Detail-oriented with client names, documents, and deadlines Willing to follow written procedures exactly, particularly on document handling and deadlines Prior experience in a professional services office (accounting, legal, financial, insurance, or medical) preferred but not required This role does not involve preparing or reviewing tax returns or financial statements, and requires no tax background. What we offer Consistent morning schedule, no nights or weekends $22.00 to $24.00 per hour, depending on experience A small, stable office where your work is visible and matters Opportunity for additional hours during peak filing periods
