The Office Administrative Assistant at Peak Landscape, Inc., a leading commercial landscape company, plays a crucial role in providing high-level administrative support to the company's partners and management team. This role requires exceptional organizational, communication, interpersonal skills, and the ability to support in various functions to facilitate the smooth operation of the admin team and company.
Key Responsibilities:
Administrative Support:
Maintain and organize physical and digital files, records, and confidential information. Vehicle licensing and registration support. Software administration.
Accounting Support:
Accounts receivable processing support. Helping process collection cases. Data entry
Communication:
Draft, proofread, and distribute correspondence and communications on behalf of the executives. Answer, screen, and direct incoming calls and inquiries.
Travel and Expense Management:
Arrange travel itineraries, accommodations, and transportation for management. Process expense reports, ensuring compliance with company policies.
Project Support:
Assist in the planning and coordination of special projects and events. Collaborate with other departments to ensure the successful execution of company initiatives AI Tool support Assists in gathering data for reports, presentations, and projects Helping in development of tools to help streamline daily workflows
Qualifications:
High school diploma or higher level of education. Proven experience as an admin, office or executive assistant (or in a similar role). Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Proficiency in Google Workspace (formerly G Suite). Technology proficiency. Excellent written and verbal communication skills. Exceptional organizational and time-management abilities. Strong attention to detail and discretion when handling confidential information. Ability to work independently and as part of a team. Adaptability and the ability to handle multiple tasks and priorities simultaneously. Knowledge of basic accounting principles. Compensation $22.00 to $27.00 per hour (DOE)
