Sales Administrative Assistant The Lakeshore Inn - 1.7 Lake Oswego, OR Job Details Full-time $21 - $25 an hour 3 hours ago Benefits Health insurance Dental insurance 401(k) Flexible schedule Qualifications Customer communication Full Job Description Position Summary Lakeshore Inn is seeking an organized, outgoing, and service-focused Guest Experience & Sales Coordinator to support the daily operations of the hotel while helping grow revenue through exceptional guest service, group sales, and community outreach. This position serves as the administrative backbone of the hotel, supporting reservations, sales, marketing, guest relations, and special events. The ideal candidate enjoys building relationships, staying organized, and creating memorable guest experiences. Primary Responsibilities Sales & Business Development Respond to all group inquiries within 24 hours. Build and manage corporate, medical, government, wedding, and sports group business. Coordinate all room blocks from inquiry through departure. Sell and coordinate meeting room rentals. Conduct hotel site tours for prospective clients. Develop local business partnerships and referral relationships. Prospect new corporate accounts and maintain existing relationships. Assist with seasonal promotions and special packages. Track sales activity and maintain accurate lead reports. Reservations & Guest Services Assist with reservations during peak demand. Manage VIP arrivals and special requests. Coordinate welcome amenities and personalized guest experiences. Ensure room blocks and reservations are accurate. Monitor occupancy and communicate with Revenue Management. Support Front Desk operations when needed. Guest Experience Respond to online reviews on Google, Expedia, Booking.com, Hotels.com, Airbnb, TripAdvisor and other channels. Contact guests following service recovery opportunities. Monitor guest satisfaction scores. Create memorable guest recognition programs for repeat visitors. Coordinate special occasion requests including birthdays, anniversaries, proposals and welcome gifts. Marketing & Community Relations Update hotel promotions and website content. Coordinate social media opportunities with marketing. Assist with photography and promotional materials. Build relationships with local businesses and tourism partners. Support community events and sponsorship opportunities. Administrative Support Prepare weekly sales and production reports. Maintain organized electronic files and contracts. Prepare proposals and contracts. Manage meeting room calendar. Maintain CRM database. Process deposits and event payments. Assist with office organization and administrative projects. Order office supplies as needed. Event Coordination Coordinate meeting room setups. Confirm banquet and meeting details. Serve as the primary contact for meeting planners. Ensure event spaces are prepared prior to arrival. Follow up with clients after each event. Qualifications Previous hospitality, hotel, restaurant, customer service or administrative experience preferred. Excellent written and verbal communication skills. Strong organizational skills with attention to detail. Comfortable learning reservation and property management systems. Professional appearance and positive attitude. Ability to prioritize multiple projects. Microsoft Office experience. Experience with online review platforms is a plus. Compensation Hourly, based on experience, with opportunities for performance-based incentives tied to group sales, meeting room revenue, and corporate account growth.
