About Graceful Waves Graceful Waves Wellness Center is a heart-centered, vision-driven Chiropractic wellness practice devoted to helping people Live Vibrantly, Love Soulfully, and Inspire Greatness. We provide advanced spinal care and nervous-system support in an environment that is warm, grounded, growth-oriented, and deeply committed to service. We have an opening on our team beginning this fall and are looking for an exceptional new teammate who feels excited about meaningful work, caring for people, and contributing to a growing practice. This is an in-person position located in Wheeler, Oregon . Applicants should live within a reasonable commuting distance or be prepared to relocate. We are actively reviewing applications and hope to welcome our new teammate within approximately 2-4 weeks , while prioritizing the right long-term fit. About the Role We are seeking a Chiropractic Assistant & Front Office Coordinator for a genuinely cross-trained position spanning both front-office operations and hands-on clinical support . Team members may naturally develop particular strengths over time, but everyone on our in-person team is trained to understand and support both sides of the Practice Member experience. The person we are looking for should be genuinely interested in becoming capable and confident in both . Depending on strengths and the evolving needs of the practice, you may spend more time in one area than another. However, this is not intended to be an exclusively front-desk or exclusively clinical position. The ideal candidate is warm, dependable, organized, accurate, comfortable with technology, and able to work with a meaningful degree of independence. We are especially interested in someone who can learn quickly, follow through consistently, recognize what needs attention, and help move work forward without requiring constant direction. What You'll Do - Front Office & Practice Coordination Welcome Practice Members with warmth, presence, and professionalism Manage scheduling, communication, daily front-desk flow, and office coordination Receive and accurately process payments, auto-debits, and financial information Maintain careful records and a high level of administrative and financial accuracy Guide Practice Members through recommended care-plan investment options and financial consultations with clarity and compassion Help Practice Members understand their options, make informed decisions, and identify workable solutions when questions about finances or scheduling arise Support practice statistics, systems, and operational workflows Assist with events, classes, community outreach, Facebook, Canva, and other practice-building activities Communicate and coordinate effectively with our virtual team member on delegated administrative and billing workflows Financial conversations are an important part of this position. This is not a traditional commission-sales role; rather, team members help Practice Members understand the financial commitment associated with recommended care, make informed decisions, and identify workable solutions with confidence and respect. Clinical Care Support Assist with initial examinations and re-evaluations Perform trained non-invasive assessments, including surface EMG, digital thermography, and range-of-motion testing Support the doctor during care flow, exams, and re-evaluations Guide Practice Members through the clinical experience with warmth and professionalism Prepare clinical spaces and documentation Help maintain a clean, calm, coherent healing environment Learn and follow clinical procedures that support efficient, high-quality care Training is provided. Previous Chiropractic or healthcare experience is welcome, but not required. Systems, Technology & Growth We are preparing to transition more of our practice into an electronic health-record system and increasingly efficient digital workflows. Previous EHR experience is not required. You do need to be comfortable learning technology, following systems carefully, adapting as processes evolve, and helping turn new workflows into reliable everyday habits. We use tools including scheduling software, ChatGPT, Canva, digital communications, billing systems, and other evolving practice technologies. We particularly value people who take initiative, follow through, notice what needs attention, solve problems thoughtfully, and move work forward without waiting to be directed through every next step. Who You Are You may be a strong fit if you are: Warm, grounded, service-oriented, and genuinely enjoy working with people Reliable and consistent in attendance, punctuality, and follow-through Naturally attentive to accuracy, details, and completion Comfortable handling numbers, payments, scheduling, and sensitive information responsibly Genuinely interested in both clinical support and front-office systems Comfortable learning hands-on procedures and new technology Able to communicate clearly and professionally, with strong basic writing, grammar, and computer skills Comfortable discussing care recommendations and financial options respectfully Able to work independently while also collaborating closely with a small team Willing to ask thoughtful questions, receive feedback, and continue developing your skills Able to collaborate effectively with both in-person and virtual teammates Interested in health, wellness, personal growth, and meaningful service Energized by contributing to the healthy growth of a practice so that we can reach and serve more people This Role May Not Be a Fit If You Want to work exclusively in either front-office or clinical support rather than learning both Prefer very narrow or repetitive responsibilities Need frequent direction in order to move routine work forward Struggle with reliability, punctuality, accuracy, or follow-through Strongly prefer a workplace where systems and responsibilities rarely evolve Prefer to avoid frequent interaction with people throughout the day Are not interested in participating in occasional community events, practice-building activities, or team learning opportunities Schedule & Availability This is a full-time position averaging approximately 30-36 hours per week . Our typical in-person practice windows are:
Monday:
approximately 10:00 AM-7:00
PM Tuesday:
approximately 10:00 AM-6:30
PM Thursday:
approximately 9:30 AM-7:00
PM Wednesday:
additional hours may be scheduled for systems work, training, team development, administrative projects, and preparation Actual start and finish times vary with the Practice Member schedule, and we often finish somewhat earlier. Applicants should nevertheless be generally available for the full practice-day windows above . Our usual rhythm is primarily Monday through Thursday , allowing for a three-day weekend most weeks. From time to time, practice days or hours may shift around holidays, trainings, special events, or other scheduling needs, so some flexibility is important. Throughout the year, we also host community events, educational programs, Free Spine Check events, festivals, and other practice-building activities. Some may take place in the evening or on an occasional Friday or Saturday. We also participate in approximately 2-3 out-of-town professional/team learning opportunities per year . These provide valuable opportunities for learning, connection, and professional growth, and participation is strongly encouraged. Some evening programs may occasionally extend beyond normal practice hours. Because we are a growing practice, exact schedules evolve over time. Flexibility and willingness to participate in occasional events and learning opportunities are important to thriving in this role.
