The Team Support Specialist is versatile, proactive, and detail oriented, ready to handle a robust mix of daily operational and creative tasks. This role is designed for a collaborative problem solver who thrives on variety, communicates clearly and confidently, and genuinely enjoys supporting multiple team members in a unique setting. The ideal candidate is highly adaptable, seamlessly pivoting between desk work and hands on projects to keep our workplace running smoothly.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned. Office Coordination and Administrative Duties
  • Maintain and update spreadsheets for tracking employee contact information and provide timely distribution when updates are made.
  • Manage the office phone tree and phone line assignments for the office.
  • Answer incoming calls and informational request emails, accurately transferring and/or conferencing in when necessary.
  • Manage incoming mail distribution and coordinate any outgoing shipments through UPS, FedEx, or USPS.
  • Serves as point of contact for any concerns and communications between the office and the building manager.
  • Assist with other office organization and upkeep activities. Errands and Logistics
  • Drive to complete a variety of local and long distance errands for various office staff.
  • Complete weekly and bi-weekly snack and beverage orders and deliveries across properties.
  • Assist with event coordination for important meetings and social events, including catering deliveries and table arrangements, and cleaning up afterward.
  • Assist with other errands as assigned to ensure smooth workplace operations. Special Projects
  • Assist with seasonal special projects such as decorating, gift wrapping, etc.
  • Assist with creation and assembly of visual materials and decorations for celebrations and events; includes photocopying, printing, cutting and trimming, gluing, painting, writing, wrapping, stickering, etc.
REQUIREMENTS AND QUALIFICATIONS
  • Proven experience in role of office or personal assistant, receptionist, or hospitality and service.
  • Comfortable in Microsoft Office (Outlook, Word, Excel) and productivity tools.
  • Comfortable learning and navigating basic administrative IT dashboards.
  • Exceptional organizational, time management, and multitasking abilities.
  • Excellent oral and written communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Reliable, detail oriented, and proactive with strong follow through.
  • Ability to successfully pass a background check.
  • Must have valid drivers license and be able to pass a motor vehicle record check with no major violations (DUI/DWI) within the past 7 years; minor infractions may be reviewed and do not automatically disqualify.
COMPENSATION AND BENEFITS
  • $22 to $25 per hour depending on experience
  • 401(k) retirement plan with 4% employer match
  • $90 per month cellphone stipend
  • Mileage reimbursement at IRS standard rate per mile
  • 40 hours of accrued Oregon Paid Sick Time
  • 40 hours of frontloaded Intentional Time Off (ITO)
