This position provides administrative support to site leadership and employees while coordinating office activities, documentation, communication, visitors, vendors, and general site needs. The ideal candidate is professional, detail-oriented, and able to manage multiple priorities in a fast-paced warehouse environment. Job Responsibilities Provide daily administrative support to site and Operations leadership. Coordinate office activities, communications, documentation, and general administrative needs. Answer and direct calls, emails, visitors, vendors, and employee inquiries. Maintain electronic and physical files, forms, records, and site documentation. Prepare reports, spreadsheets, correspondence, and other business documents. Assist with employee onboarding, orientation scheduling, badges, and administrative paperwork. Maintain office supplies and coordinate purchasing and replenishment. Coordinate meetings, calendars, conference rooms, and site events. Assist with timekeeping, attendance documentation, and employee records as assigned. Support communication between Operations, HR, Customer Service, Finance, IT, and other departments. Coordinate vendor visits, service appointments, and facility-related requests. Assist with invoices, purchase orders, and expense documentation as assigned. Support training records, audits, safety documentation, and special projects. Maintain confidentiality of employee, customer, and company information. Minimum Required Qualifications High school diploma or GED required; associate degree preferred. Minimum 2 years of administrative, office coordinator, or related experience preferred. Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint . Strong organizational skills and attention to detail. Ability to prioritize multiple tasks and meet deadlines. Strong written, verbal, and interpersonal communication skills. Ability to work independently and support multiple departments. Experience in logistics, warehousing, distribution, manufacturing, or a 3PL environment preferred. HRIS, timekeeping, purchasing, or similar business-system experience is a plus. Bilingual English/Spanish skills are a plus. Skills/Abilities Accurate and timely completion of administrative tasks. Responsive support for site leadership and employees. Accurate maintenance of records and documentation. Professional communication with employees, customers, visitors, and vendors. Compliance with IDC policies, safety requirements, and confidentiality standards. Must work 100% onsite at the Bath, PA location. Ability to work in both office and warehouse environments. Ability to sit, stand, and walk as required. Ability to occasionally lift up to 25 pounds.
