We're looking for an experienced Administrative Assistant who enjoys staying busy, keeping things organized, and supporting a Property Manager in a fast-moving commercial property environment. This is not a role where assignments should keep coming back to the manager's desk. The right person takes ownership, follows through, asks questions when needed, and closes the loop. Join an established, stable commercial real estate organization Work closely with an experienced Property Management team Variety throughout the day—tenants, vendors, work orders, purchase orders, contracts, and projects Opportunity to become a trusted, go-to member of the team Long-term opportunity for someone who is dependable, organized, and willing to work Responsibilities Provide day-to-day administrative support to Property Managers and the broader Property Management team Serve as a primary point of contact for tenants, vendors, and visitors by phone, email, and in person Receive assignments from the Property Manager, take ownership, and follow them through to completion Enter, track, and troubleshoot tenant work orders using MRI Angus Set up new tenants and users within the Angus work order system Prepare and process purchase orders, change orders, contracts, and related property documentation Maintain contract logs, office manuals, property files, and other tracking documents Create and update documents, spreadsheets, calendars, and reports using Microsoft Word and Excel Set up new vendors in MRI and maintain vendor information Collect and organize Certificates of Insurance for contractors Communicate urgent tenant requests and building needs to the appropriate team members Issue tenant bill-backs and distribute property announcements Assign building access cards and codes Coordinate conference room reservations and building calendars Maintain office supplies and help ensure office equipment remains operational Assist with the corporate phone line and provide administrative support wherever needed What We Need Previous experience directly supporting a Property Manager strongly preferred Experience in commercial property management, real estate, facilities, or a related environment Strong working knowledge of Microsoft Word and Excel Experience creating and processing purchase orders Experience with MRI Angus or another property-management/work-order system strongly preferred Highly organized with strong attention to detail Comfortable managing several priorities at once Strong follow-through—you finish what you start Self-motivated and able to work without constant direction Professional communication and customer-service skills Reliable, flexible, and willing to jump in when something needs to get done High school diploma or equivalent required The Person Who Will Do Well Here You don't wait around to be reminded.
