Job Description

Position Summary:
Provide administrative support to social services staff including receptionist duties, scheduling meetings, typing, maintaining files, and compiling reports. Scheduling pickups for donations along with scheduling breakfast and lunches for clients.
Primary Duties and Responsibilities:
Provide general receptionist duties in social services office to include answering telephones, directing calls, taking messages, and meeting and greeting clients and visitors. Provide general administrative support to social services staff including support with coordination of activities with outside providers[GR1] , in-kind recording[GR2] , organizing and/or distribution of donations. Assist with the activities within the shelter along with distribution of quarters for laundering and maintaining petty cash. Assist with coordination of meal program volunteers, in addition to distribution of food donations as necessary. Maintain files, compile reports and assist with all other administrative tasks. Assist Director with board reports, program reports, monthly in-kind reports and budget spending/management reports. Support with procurement, inventory control, office/janitorial supply/needs requests. Manage and maintain order of client supplies in supply closet. Manage bulletin boards in common areas, supplying the most up to date information for client services and resources. Maintain building signage including notices to residents and staff. Input data into the Homeless Management Information System (HMIS) as necessary. Other duties as required.
Position Objectives:
Maintain order and organization in the office. Provide excellent customer service to clients and visitors. Provide excellent support to staff.
Qualifications:
This position requires a minimum of a High School education or the equivalent with at least two years' administrative support experience. Some advanced education is preferable. This position requires an individual with outstanding computer skills and a thorough knowledge of Microsoft Office software and understanding of database use. Attention to detail, accuracy, strong organizational skills and the ability to take direction are all key skills required for this position. The individual must have excellent communication skills, both oral and written, combined with strong interpersonal skills. The ability to work well with people from different cultural and socio-economic backgrounds is crucial to this position.
Physical Demands:
The physical demands described in this section are representative of those that must be met by an employee to successfully perform the essential functions of this position. While performing the duties described herein, the employee is regularly required to talk, hear, stand, walk, maneuver stairs, sit, stoop, kneel, crouch and crawl. The employee must occasionally lift and/or move up to 15 pounds. Specific vision capabilities required by this position include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. This position may involve occasional travel to other worksites, all within Delaware County.
