Position Summary The Office Assistant provides administrative and clerical support to ensure efficient day-to-day office operations. This role is responsible for maintaining accurate records, processing documentation, coordinating shipping activities, and serving as a professional point of contact for employees, vendors, and customers. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. Essential Duties and Responsibilities Maintain accurate electronic files Generate and maintain reports and spreadsheets using Microsoft Excel Organize and maintain employee personnel files in accordance with confidentiality standards Prepare, update, and maintain weekly outbound shipping schedules and charts Coordinate with dispatchers regarding inbound and outbound freight and communicate relevant information to management and the shipping department Process transportation and shipping documentation, including Bills of Lading (BOLs) Prepare and distribute monthly tonnage reports Answer, screen, and direct incoming phone calls professionally and efficiently Greet vendors, visitors, and customers in a courteous and professional manner Communicate with corporate customer service representatives regarding order and inventory status Maintain office supply inventory and place orders as needed Verify receipt of supplies, materials, services, and repairs Handle confidential personal and financial information with discretion and professionalism Perform general clerical duties, including copying, scanning, filing, and faxing documents Perform additional administrative duties as assigned by Plant Management Qualifications Strong organizational and multitasking abilities Excellent verbal and written communication skills Professional phone etiquette and customer service skills Proficiency in Microsoft Office Suite, particularly Excel Strong attention to detail and ability to meet deadlines Ability to work independently and collaboratively in a team environment Dependable, punctual, and professional demeanor Effective time management and problem-solving skills Motivated, adaptable, and able to handle changing priorities in a fast-paced environment
