Responsibilities:
Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements with precision.
Prepare, review, and distribute correspondence, reports, and presentations in a timely manner.
Assist with financial tasks such as invoice processing, accounts payable, and basic account reconciliation using accounting software like QuickBooks, Sage, or Xero.
Support financial report writing and data analysis related to budgeting, forecasting, and financial management activities.
Handle confidential information with discretion while coordinating internal communications across departments.
Maintain accurate records of financial transactions including cash management, payroll processing, and regulatory reporting requirements aligned with GAAP standards.
Facilitate office operations by organizing files, managing supplies, and ensuring compliance with relevant regulations such as SOX (Sarbanes-Oxley Act), IFRS (International Financial Reporting Standards), and governmental accounting standards.
Experience:
Proven experience in an administrative or secretarial role with a strong background in accounting or finance functions.
Familiarity with accounting principles including double-entry bookkeeping, debits & credits, balance sheet reconciliation, and account analysis.
Hands-on experience with accounting software such as QuickBooks, Sage, Xero or similar platforms is highly desirable.
Knowledge of non-profit accounting practices, governmental accounting standards, and public accounting environments is a plus.
Demonstrated ability to perform financial concepts like GAAP compliance, regulatory reporting, and general ledger reconciliation accurately.
Strong organizational skills complemented by excellent communication abilities to support effective financial analysis and reporting.
