Job Description

Job Overview We are seeking a highly organized and discreet Confidential Administrative Payroll/Personnel Secretary to support our administrative and payroll functions with precision and professionalism. This vital role involves managing sensitive personnel records, processing payroll, and ensuring compliance with organizational policies and legal requirements. The ideal candidate will demonstrate exceptional attention to detail, strong technical skills, and the ability to handle confidential information with integrity. Skills:
1. Demonstrates a strong and consistent work ethic 2. Strictly maintains a high degree of confidentiality 3. Possesses strong organizational skills 4. Ability to work with a variety of data and to problem solve through research 5. Proficient at business-level math, including calculations using fractions, percentages, and/or ratios 6.
Ability to schedule activities:
gather, collate, and/or classify data; and use job-related equipment 7. Knowledge of accounting and budgeting principles 8. Ability to maintain accurate accounting records and learn district accounts payable procedures 9. Ability to set up and maintain an accurate filing system 10. Possesses knowledge of Microsoft Office programs
Performance Responsibilities:
  • Compile, enter, process, update and save data for mid-month advance and calculated payroll
  • Print payroll checks, prepare, and distribute to all employees
  • Transfer federal income tax, social security, and Medicare tax withholding by the Electronic Federal Tax Payment System
  • Transfer direct deposit payroll online to the ACH Department at bank
  • Security Administrator for Pension Administration System of PSERS
  • Maintain accuracy and upload demographic files, contract records and work report files from payroll software into the PA School Employees Retirement System (PSERS) where files are maintained, submitted, and approved-on a monthly basis
  • Prepare and process all monthly and quarterly reports, transfer online, and file reports with governmental agencies
  • Prepare payroll deduction checks for mailing to vendors, transfer state tax and retirement contributions
  • Maintain employer electronic file transfer software application for domestic relations wage attachments and transfer online to the bank
  • Provide updated time sheets to each department
  • Prepare and enter data for employees with the taxable benefit of life insurance over $50,000
  • Process and print W-2s: transfer online, file reports with governmental agencies
  • Reconciliation of social security, federal, and state annual reports
  • Prepare and process salary and hourly rate adjustments
  • Maintain a list of pay dates
  • Research and completion of all payroll forms (welfare, unemployment, retirement, and verification of employment, etc…)
  • Order payroll supplies (checks, envelopes, W-s2, etc…)
  • Maintain all basic employee information (status changes and new employee data entry)
  • Maintain employee attendance
  • Prepare and send employee statement of salary and accumulated sick leave days
  • Complete new hire reports
  • Maintain files for employee tax sheltered annuity forms, W-4 forms, Act 29 new employee forms, and Section 125 agreement forms
  • Compile list and send "Letters of Assurance"
  • Research and completion of surveys
  • Track staff clearances and nursing licenses
  • Prepare employee and field trip list for Agenda
  • Invoice field trips
  • Complete job postings for open positions
  • Maintain all employee files
  • Maintain list of department heads, club sponsors, and coaches
  • Verify Kelley Educational Service's invoice
  • Track professional tenure
Terms of Employment:
Twelve-month year. Salary and work year to be determined by the Board.
Evaluation:
The performance of this job will be evaluated annually by the Business Administrator.
