Job Overview The World War II American Experience is seeking an organized, dependable, and adaptable Administrative Assistant to provide administrative and organizational support to the Chief Executive Officer and assist with several key areas of museum operations. This position will help manage day-to-day administrative responsibilities, coordinate group visits and venue rentals, assist with communications and project coordination, and serve as an important point of contact between museum leadership, staff, volunteers, visitors, vendors, and community partners. As a growing nonprofit museum with a small staff, we are looking for someone who is comfortable handling a variety of responsibilities, can manage multiple priorities, and works well both independently and as part of a team. This position may be offered on either a part-time or full-time basis depending on the successful candidate's experience, availability, and the needs of the museum.
Duties Executive & Administrative Support:
Assist the CEO with correspondence, scheduling, appointments, meetings, recordkeeping, and other administrative needs.
Group Sales & Venue Rentals:
Serve as a primary contact for group tour inquiries and venue rentals, coordinate reservations, and prepare contracts, invoices, itineraries, and confirmation materials.
Group Coordination:
Work with museum staff and group organizers to help ensure successful group visits and venue rentals, maintain records, and follow up with prospective groups and clients.
Marketing Coordination:
Coordinate marketing projects between museum leadership and outside vendors or consultants.
Event Promotion:
Provide administrative support for the oversight of event promotion and community outreach efforts.
Office Administration:
Answer and direct phone calls and email inquiries, maintain administrative records and office supplies, and assist with data entry and database management.
Staff & Volunteer Support:
Provide administrative assistance to museum staff and volunteers as needed within the scope of the position. Requirements Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and follow-through. Ability to manage multiple responsibilities and adapt to changing priorities. Ability to work independently while collaborating with a small team. Professional and comfortable communicating with visitors, group organizers, vendors, volunteers, and community partners. Comfortable learning new software, systems, and administrative processes. Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint, preferred. Previous administrative, office, hospitality, nonprofit, customer service, or related professional experience preferred. Associate's or Bachelor's degree preferred, or equivalent professional experience. Experience with CRM, ticketing, scheduling, point-of-sale, or similar business software is a plus. An interest in museums, history, education, tourism, or nonprofit organizations is a plus.
