Duties Greet visitors and manage front desk responsibilities with professionalism and warmth Answer multi-line phone systems promptly, directing calls accurately and courteously Perform data entry tasks using Microsoft Office and Google Workspace applications with precision Assist with bookkeeping activities using QuickBooks and handle basic financial recordkeeping Manage filing systems, organize documents, and ensure confidentiality of sensitive information Support calendar management and scheduling for team members or executives Provide general clerical support including proofreading, document preparation, and mail handling Maintain office supplies inventory, place orders as needed, and ensure the workspace is tidy and organized Offer customer support by addressing inquiries via phone or email with excellent communication skills Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with QuickBooks or similar bookkeeping software is a plus Excellent organizational skills with the ability to prioritize tasks effectively Effective phone communication skills coupled with proper phone etiquette Bilingual abilities are desirable to assist diverse client needs Experience in office management, clerical work, or administrative roles is preferred but not required Ability to handle confidential information discreetly and professionally Strong typing speed along with proofreading skills to ensure accuracy in all documents Time management skills to balance multiple responsibilities efficiently Personal assistant experience or calendar management skills are advantageous Join us in creating a positive and productive office environment where your organizational talents can shine!
