This vital role combines transaction coordination with administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess strong technical skills to handle a variety of tasks efficiently. You will serve as the first point of contact to manage administrative workflows and support team members with their operational needs. This position offers an engaging environment where your organizational prowess and positive attitude will make a meaningful impact every day. Real estate experience is not required. Responsibilities Greet visitors and coordinate activities with professional phone etiquette Serve as the liaison between buyer/sellers, real estate agents, lenders and settlement companies throughout the transaction. Manage all active contracts for completed documentation, critical contract dates, deadlines, contingencies and closing requirements Ensure transaction files are accurate and complete Ensure timely and proactive follow-up is completed on outstanding documents, signatures, deadlines and action items. Resolve title issues, document discrepancies and or scheduling conflicts as they arise Handle data entry tasks accurately using Dotloop, West Penn Multi-List, spreadsheets, word processing, and other software applications Coordinate scheduling of closings and walkthroughs Prepare, review and organize closing documents, disclosures and title/escrow paperwork for accuracy and completeness Coordinate correspondence, proofread documents, and perform clerical duties such as filing and document management Support client communication efforts through courteous customer service and timely follow-up Proven office management or administrative experience in a fast-paced environment Strong computer literacy Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently Previous experience in customer service or client communication roles that required professionalism and patience Personal assistant or executive support experience is advantageous but not required.
