Job Description
Position Summary:
The Office Coordinator promptly directs all incoming calls to proper personnel in a courteous manner or will take a complete message if the person is unavailable. The Office Coordinator is responsible for greeting patients, obtaining new patient information, scheduling/rescheduling of appointments and performing follow-up on no shows and cancellations. She/he provides effective communication to office and clinical staff and assists with other clerical support duties regarding filing, data entry, making copies, insurance verifications, etc.Qualifications and Education:
- A high school diploma or equivalent is required.
- Two or more years' experience functioning as an Office Assistant with multiple incoming lines to answer, preferably in an orthopedic or medical setting preferred but not required.
- Two or more years' experience performing secretarial duties such as data entry and filing is preferred but not required.
Essential Functions:
- Answer all incoming calls in a friendly, warm, and welcoming manner.
- Promptly direct all incoming calls to proper destination or complete a message in writing and forward to destination in timely manner.
- Maintain accurate appointment schedule indicating cancellation, reschedules, no-shows, patient visits, and new patients.
- Enthusiastically greet and welcome patients.
- Obtain proper information from the new patient and input into the computer system or forward to Precertification Representative.
- Collect copays and balances on accounts at Check Out.
- May be expected to collect co-pays, open and sort mail and assist with various billing and collection procedures and report preparation.
- Prepare and submit daily deposits.
- Perform other clerical support duties to include typing, filing, scanning, preparing and copying correspondence and maintaining logs.
