Position Goal:
To promote the efficient and impactful operation of the Office of Human Resources, to perform general administrative duties in a professional and courteous manner, and to support the HR department in various areas to ensure smooth daily operations.
Essential Duties and Responsibilities Disposition & Skillset:
Ensures interactions through email, phone calls, and in-person with staff, contractors, and the public are friendly, respectful, and professional. Observes confidentiality of all professional matters. Confidentiality statement required. Ability to show tact and diplomacy in stressful situations. Makes valid and independent decisions in assigned areas of responsibility. Projects a positive image of the District and its programs and services Ability to work in an environment with frequent interruptions. Exhibit skilled competence in typing, word processing, and Excel. Develop proficiencies in OneNote, Outlook, Power School, and Tyler School ERP Pro. Compile reports, prepare budget materials, and maintain records and files.
Office of Human Resources:
Onboarding/orientation :
New hire paperwork
- to include follow-up to ensure all proper documentation is in the new personnel file, i.
e., transcripts and certification for teachers, license/credentials, TB/physical form etc. Coordination and distribution of information to other departments Personnel File Management / Compliance Oversees the archive room and processes Develops and maintains an efficient comprehensive filing system Maintains, updates, tracks personnel files and related documents in compliance with state and federal laws and district policies including paper and electronic files, I-9 forms, and employee medical files. Assist employees with personnel records to include updating names, addresses, etc. Completes Act 168 requests
General:
Manage the District's absence management system to ensure accuracy of information Complete employment verification/letters Manage employee certifications Manage retiree and new hire spreadsheet Coordination of vendors Assists in scheduling interviews for posted positions in the District Assists with the planning and coordinating of recruitment events and career fairs Prepares Human Resources Agenda for School Board meetings Manages Agenda Letter Process Recommends and implements new approaches and procedures to continually improve the efficiency of the HR department and services performed Assists with projects in the Office of Human Resources, as needed Administrative Support for the
Director of Human Resources:
Assists in preparing ad hoc data reports to the Director Completes special projects as assigned by the Director Types memos and correspondence Opens, sorts, distributes, and follows up with mail, as directed by the Director of Human Resources. Completes purchase orders/procurement card processing for HR department Enters Director of Human Resources expenses and budget information Schedules appointments and keeps a calendar for Director of Human Resources Assists with assigned tasks directed by the Director of Human Resources, as needed.
