Job Description

The YMCA of Indiana County is seeking a detail-oriented and organized Administrative Services Assistant to support the day-to-day operations of our administrative office. Working under the direction of the Director of Administrative Services, this position provides administrative, financial, payroll, and Human Resources support while helping ensure the smooth operation of the YMCA.
Salary:
$37,000 per year In this role, you will: Process accounts payable and accounts receivable, including invoices and program billing. Verify daily deposits and accurately enter financial information into Daxko and QuickBooks. Prepare daily and weekly journal entries and organize financial documentation for reconciliations, audits, and committee meetings. Assist with purchase orders and track office expenses. Support the bi-weekly payroll process by collecting, reviewing, and verifying employee timesheets. Assist with Human Resources functions, including onboarding paperwork, employee files, benefit enrollment, and required staff clearances. Maintain accurate and confidential employee records in compliance with retention requirements. Monitor office supplies, coordinate equipment maintenance, and provide general administrative support to the Director of Administrative Services. Deliver friendly, professional service to staff, members, vendors, and community partners while upholding the YMCA's core values of Caring, Honesty, Respect, and Responsibility . Associate degree in Business Administration, Bookkeeping, Human Resources, or a related field preferred; equivalent work experience will be considered. One to two years of experience in an administrative, bookkeeping, accounting support, or payroll support role. Proficiency with Microsoft Office, particularly Excel and Word. Strong organizational skills with excellent attention to detail and accuracy. Ability to maintain confidentiality when handling financial and employee information. Excellent communication and customer service skills. Ability to manage multiple priorities and meet recurring deadlines.
Preferred:
Experience with QuickBooks, Daxko, or payroll software.
Physical Requirements:
Occasionally bend, stoop, and lift up to 25 pounds.
Employment Requirements:
Successful completion of FBI Fingerprinting (Department of Human Services), Pennsylvania State Police (PATCH), Pennsylvania Child Abuse Clearance, and Mandated Reporter training prior to employment. Pediatric First Aid/CPR/AED and Great American Academy certifications must be completed within 90 days of hire.
