Job Description

THIS POSITION IS POSTED IN ACCORDANCE WITH THE AFSCME COLLECTIVE BARGAINING UNIT SUMMARY
Come join a dynamic, fast-paced, and fun team working to build a medical school at IUP! The Clerical Assistant 2 in the Proposed College of Osteopathic Medicine (IUPCOM) provides essential administrative and clerical support to faculty, staff, and leadership supporting primary care and specialty medicine education and clinical operations. As part of a newly established medical school, this position plays a key role in supporting daily operations, coordination, and communication within the department. ESSENTIAL DUTIES

Computer Proficiency:
Strong skills with basic computer programs, particularly Microsoft Office Suite (Word, Excel, PowerPoint), and other relevant software applications.
Data Entry Skills:
Accuracy and speed in inputting and managing data across multiple systems. Attention to
Detail:
The ability to work independently and meticulously to maintain data accuracy and integrity. Candidates must communicate effectively and perform well in the interview(s). Candidates must have communication skills and cross-cultural abilities to maximize their effectiveness with diverse groups of students, colleagues, and community members. Prepares, formats, and proofreads correspondence, reports, forms, and departmental documents. Keyboards and updates data in records, spreadsheets, templates, databases, and information systems. Compiles, compares, verifies, organizes, and edits data and information related to departmental activities. Serves as an initial point of contact for the Primary Care and Specialty Medicine Departments; responds to inquiries and provides general information to faculty, students, staff, and the public. Maintains departmental files, records, tracking systems, and electronic document repositories. Schedules meetings, maintains calendars, reserves meeting rooms, and prepares meeting materials. Takes notes at meetings and prepares summaries as needed. Assists with tracking departmental expenses, purchase requests, and basic budget-related documentation in accordance with university policies. Coordinates travel arrangements and prepares travel expense documentation for faculty and staff. Monitors office supplies and initiates purchase requests in accordance with procurement procedures. Provides clerical support for department events, educational activities, and community engagement initiatives. May provide guidance to other clerical staff or student workers. Performs related work as required. The above duties are normal for this position. Other duties may be required and assigned.
WORK SCHEDULE
Monday through Friday, 8:00 AM to 4:30 PM
MINIMUM EXPERIENCE & TRAINING
: Six months as a Clerical Assistant 1 (commonwealth title). or Graduation from high school. or An equivalent combination of experience and training.
