Position Summary:
The Administrative Assistant is responsible for working directly with the Office Manager to assist in proper completion of various office duties. This position works closely with Human Resources, Program, Fiscal, and Maintenance to ensure that interviews, paperwork, administrative duties, filing, scheduling and other various responsibilities are done in an effective and timely manner.
Essential Functions:
Maintains physical and electronic filing systems, and complies with file retention and destruction policy. Tracks and monitors employee due dates on various needs such as provider qualifications, physicals, and licenses. Tracks and monitors due dates for various departments including but not limited to: Vehicle maintenance/inspections Employee physical due dates Provider qualifications Assists with overall monitoring and functionality of the office. Answering the office main phone and forwarding calls to the proper party. Maintaining overall telephone systems and voicemails Assisting departments with paperwork, filing, and tracking. Assists Office Manager with benefits, documentation, policies, etc. Supply and item maintenance/ordering. Retrieving and distributing mail. Other administrative duties as needed.
Skills and Abilities:
Knowledge of Microsoft 365 is required. Proper knowledge of computers and other technology is preferred. Typing skills. Data input and chart organizational skills. Ability to work in a team setting as well as individual environment depending on the situation. Knowledge of employment law implementations or ability to learn is preferred. Proper phone etiquette is required. Ability to work in an office setting, sit/stand for prolonged periods of time, and to work in front of a computer screen for long portions of the workday. The ability to work one-on-one with people is preferred. Must be able to push/pull/lift up to 50 pounds. Experience in the IDD field is a plus. Other skills and abilities as needed.
