Job Description
We are looking for an organized Administrative Assistant to support a public sector office in Norristown, Pennsylvania. This Contract position is onsite and will provide short-term coverage for approximately three weeks while the team completes its internal hiring process. The role is ideal for someone who can manage daily administrative tasks, communicate effectively with staff and residents, and keep office operations running smoothly in a fast-paced government environment.
Responsibilities:
- Support the Director of Public Works by coordinating schedules, arranging meetings, drafting written communications, and safeguarding sensitive documentation.
- Track employee attendance information and enter purchasing data accurately to assist departmental operations.
- Accept permit submissions, review documentation for completeness, and issue permits according to established procedures.
- Respond to incoming phone calls, route inquiries to the appropriate contacts, and provide courteous assistance to residents and internal teams.
- Record and follow up on service and repair concerns involving roads, streetlights, traffic signals, and related public works matters.
- Maintain organized digital and physical records, prepare routine reports, and document meeting discussions for department reference.
- Use Microsoft Office applications and internal database systems to perform data entry and support day-to-day office administration.
