Job Description
We are looking for a detail-oriented Office Assistant to join a contract position supporting administrative and records management activities located in the Greater Philadelphia Region. This role will assist multiple departments with organizing, reviewing, and preparing physical documents for retention, digitization, or secure disposal. The ideal Office Assistant candidate is comfortable handling high volumes of files, completing clerical tasks accurately, and providing dependable front-office support when needed. Here's how you'll contribute each day:
- Review paper files and archived documents across departments to identify materials that should be retained, digitized, or destroyed based on guidance from department leaders.
- Scan and organize approved records into digital formats while maintaining accuracy, consistency, and document integrity.
- Perform general clerical support such as filing, sorting, labeling, and preparing documents for processing.
- Coordinate with managers and staff to clarify document handling requirements and ensure records are routed appropriately.
- Support office operations by answering inbound calls and assisting with basic receptionist coverage as needed.
- Maintain an orderly workspace and track progress on document review and digitization assignments.
- Handle sensitive information with discretion and follow established procedures for records management and secure shredding. Other requirements for the Office Assistant position include and are not limited to:
- Prior experience in an office support, clerical, or administrative role.
- Ability to scan, sort, and manage large volumes of documents with strong attention to detail.
- Experience handling receptionist or front-desk responsibilities, including answering inbound calls.
- Comfortable working with physical files and making accurate decisions based on department guidance.
- Strong organizational skills and the ability to manage tasks across multiple teams.
- Ability to start immediately and work effectively in a fast-paced office environment.
- Clear communication skills and a reliable, team-oriented approach to daily work.
