Job Description
We are looking for an Office Assistant to join our team for a contract position. This role will provide day-to-day administrative support across several departments while helping organize and evaluate physical records as part of a large-scale document digitization effort. The ideal Office Assistant candidate is comfortable handling clerical tasks, managing incoming calls, and working closely with department leaders to ensure files are reviewed, retained, digitized, or securely discarded as appropriate. - Provide administrative assistance to multiple departments by organizing records, preparing documents, and supporting daily office operations.
- Review paper files and historical documents in coordination with department managers to identify materials that must be preserved or converted to digital format.
- Scan, index, and upload documents accurately to support ongoing record digitization activities.
- Sort files for retention, digitization, or secure shredding based on departmental guidance and established procedures.
- Answer inbound calls, greet visitors as needed, and direct inquiries to the appropriate staff members in an organized manner.
- Perform general clerical duties such as filing, data entry, document preparation, and maintaining orderly record storage areas.
- Help track project progress by maintaining clear documentation of reviewed files and completed scanning work.
- Previous experience in an office support, clerical, or administrative role.
- Ability to scan, organize, and manage large volumes of physical and digital documents with accuracy.
- Comfortable handling receptionist-related tasks, including answering inbound phone calls and assisting visitors.
- Strong attention to detail when reviewing records and determining document handling needs.
- Ability to work effectively with multiple departments and follow direction from department managers.
- Proficiency with general office equipment such as scanners, phones, and printers.
- Strong organizational skills and the ability to start immediately in a fast-paced environment.
