Job Description
Overview We are looking for an Office Assistant for our new office located in Pocono Summit. Part-Time work to start with possibility of becoming a Full-Time position. We are seeking a motivated and detail-oriented individual to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and excellent customer service. This position requires strong organizational skills, attention to detail, and the ability to multitask. Job requirements and skills for the right candidate: High school diploma or equivalent. Strong written and verbal communication skills Must be a team player and Communicate well with others while being able to work efficiently alone. Good Organizational skills and the ability to multitask and prioritize important tasks. Proficiency with office applications, such as Microsoft Office, Google Suite and Adobe Reader. Ability to maintain confidentiality of company information. Great Customer service skills. High Attention to detail. Must have Experience in an office environment. Must have their own means of transportation. Skills that are not required but will increase compensation: Knowing a Second Language Previous Experience working with a Construction Company Knowledge in Graphic Design and Advertising Knowledge in Social Media Business Platforms Knowledge in creating Floor Plans and Project Mockups Main Responsibilities of the
Position:
Assist office managers with scheduling, documentation, subcontractor coordination, and tracking projects. Answer phones, respond to emails, schedule appointments, and maintain a professional, friendly point of contact for clients and vendors. Prepare, organize, and maintain proposals, permits, insurance certificates, change orders, and job files. Coordinate site visits, inspections, crew schedules, and meetings to keep operations running smoothly. Assist with invoicing, sending pay links, and updating Project spreadsheets. Help prepare permit applications, track approvals, maintain compliance documents, and communicate with local municipalities. Maintain office supplies, manage mail, organize digital and physical filing systems, and support daily administrative needs.
