Monday-Friday, 9:00 - 5:00

In person About the Position We are looking for a friendly, organized, and dependable Administrative Assistant to join our team. This is a hands-on position for someone who enjoys working with people, staying organized, and keeping an office running smoothly. As the first point of contact for tenants, clients, vendors, and visitors you will play an important role in creating a professional and welcoming experience. The position combines front desk responsibilities, tenant service, office administration, property management support, and general coordination . The ideal candidate is personable and professional, comfortable handling multiple priorities, has strong attention to detail, and is willing to jump in and help wherever needed. Key Responsibilities Front Desk & Customer Service Greet tenants, clients, vendors, and visitors in a friendly and professional manner Answer and direct incoming phone calls and respond to general inquiries Monitor and respond to office emails and messages Provide information and assistance to tenants and visitors Maintain a professional, welcoming, and organized reception area Property Management Support Assist with tenant requests and coordinate with property management and maintenance staff Schedule and coordinate maintenance visits and work orders Maintain records related to tenant requests, work orders, keys, fobs, building access and meeting management system Assist with lease files and other property-related documentation Coordinate with leasing, maintenance, and administrative staff to ensure smooth daily operations Accounting Payroll Support
• Perform light accounting responsibilities and serve as backup for payroll administration
• Perform data entry and call for collections Office Administration Manage incoming and outgoing mail and packages Maintain organized physical and digital files Maintain inventory of office supplies and common office items Assist with photocopying, scanning, filing, proofreading, and other administrative tasks Assist with basic office equipment needs, including printers, toner, and supplies Help keep the reception area, kitchen, copy/printing areas, and other common spaces clean and organized Provide general administrative support to the team What We're Looking For The ideal candidate will be: Friendly, professional, and comfortable interacting with a wide variety of people Highly organized and detail-oriented Dependable and able to take initiative Comfortable managing multiple tasks and interruptions throughout the day A strong communicator with excellent phone and email etiquette Proficient with computers, email, Microsoft Office, Word, and Excel Comfortable learning new software and technology Able to maintain confidentiality when handling tenant, financial, and company information Someone who takes pride in maintaining a professional office environment A team player who is willing to help wherever needed
Experience Preferred:
Previous experience in a real estate, property management, or professional office environment Experience with invoicing or payment tracking Customer service or front desk experience Real estate or property management experience is a plus, but we are willing to train the right person.
