Administrative Assistant Estimating & Bid Support

Job Description

Job Description Northeast Data, Inc. is seeking an organized and detail-oriented Administrative Assistant to support our estimating and bidding process for network cabling and low-voltage projects. This is primarily a clerical and administrative position. The successful candidate will assist with preparing quotations, organizing bid documents, requesting vendor pricing, entering project information, and maintaining accurate records. Training will be provided on our estimating processes and industry terminology. Key Responsibilities Provide administrative and clerical support for the estimating and sales teams. Enter project, pricing, material, and customer information into spreadsheets and company systems. Assist with preparing quotations, proposals, and bid documents. Request pricing and availability information from vendors. Organize project specifications, drawings, material lists, and other bid-related documents. Review documents for missing information and follow up as directed. Track bid deadlines and help ensure required documents are submitted on time. Maintain electronic files and accurate records for current and completed bids. Format and proofread correspondence, proposals, spreadsheets, and other documents. Communicate professionally with customers, vendors, and coworkers by telephone and email. Perform other general office and administrative duties as assigned. Qualifications Previous clerical, administrative, data-entry, purchasing, or estimating-support experience is preferred. Proficiency in Microsoft Excel, Word, Outlook, and OneNote. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Comfortable working with numbers and performing basic calculations. Ability to manage multiple assignments and meet deadlines. Strong written and verbal communication skills. Ability to learn construction and low-voltage terminology. Familiarity with conduit, enclosures, pathways, network cabling, or construction materials is helpful but not required.
