The Administrative Assistant is a key team member responsible for providing high-level administrative support to ensure the smooth operation of daily activities and special projects. This role requires accountability, strong organizational skills, and the ability to anticipate needs while managing multiple tasks in a fast-paced environment. The Administrative Assistant will handle scheduling, client communications, and various office operations while delivering exceptional service to clients and supporting the financial planning sales team.
Key responsibilities include:
Scheduling client meetings and managing calendars efficiently Maintaining and updating client relationship management (CRM) software Preparing meeting materials and documentation Greeting clients and handling phone calls professionally Assisting with dictation, transcription, and distribution of incoming mail Organizing client appreciation events and supporting back-office tasks Adhering to departmental standard operating procedures and delivering prompt, courteous service
