Job Description
We are looking for a detail-oriented Administrative Assistant to support daily administrative and project coordination activities in Pennsylvania. This contract opportunity with potential for a permanent role is ideal for someone who enjoys keeping records organized, managing documentation, and helping teams stay on schedule. The role will contribute to proposal preparation, payroll support, bid coordination, and general office operations in a fast-paced environment.
Responsibilities:
Provide general administrative and clerical support, including filing, scanning, data entry, and document management. Answer and direct phone calls, greet visitors, and assist with incoming correspondence. Coordinate mail, packages, and office communications. Prepare, organize, and maintain business records, contracts, and other important documents. Assist with invoicing, billing, accounts payable, and accounts receivable activities. Support reporting, tracking, and compliance-related documentation. Maintain organized filing systems and archive records as needed. Provide day-to-day administrative support to management and office staff.- Experience providing clerical, administrative, or project support in an office environment.
- Strong ability to manage timelines, maintain organized records, and handle multiple priorities effectively.
- Proficiency in document control, scanning, filing, and preparing detailed business correspondence.
- Familiarity with construction projects, subcontractor bid coordination, or related project documentation is preferred.
- Ability to support scheduling activities and maintain accuracy across reports, proposals, and contract files.
- Comfortable working with payroll-related time entry information and reviewing data for completeness.
- Strong attention to detail, communication skills, and follow-through in a deadline-driven setting.
