About the Role Inhabit Real Estate is looking for an organized, resourceful, and proactive Administrative Assistant to join our team and help keep the day-to-day needs of our boutique real estate brokerage running smoothly. This is a varied role that combines recurring administrative responsibilities with project-based support for our operations and leadership team. No two weeks will look exactly the same. You might coordinate an upcoming event, prepare materials for a meeting, update a spreadsheet, create a marketing piece, research something for a project, troubleshoot an office need, run an errand, or help bring a new internal process to life. We're looking for someone who genuinely enjoys being the person who keeps things moving. You're someone who listens during a meeting and notices the action items, keeps track of what needs to happen next, follows up when something is outstanding, and doesn't need every next step handed to you. You don't need to know how to do everything on day one. What matters more is that you're curious, comfortable asking thoughtful questions, willing to figure things out, and able to take ownership of your work from start to finish. What You'll Do Administrative & Agent Support Assist with agent onboarding and offboarding. Maintain agent information, records, and recurring administrative requirements. Track deadlines and send reminders for required updates, renewals, and documentation. Maintain shared calendars, files, and administrative systems. Provide general administrative support to the team and help route requests to the appropriate person when needed. Meetings, Events & Office Support Coordinate logistics for twice-monthly sales meetings and other company meetings. Attend relevant meetings, take notes, identify administrative action items, and help ensure follow-up happens. Help keep our Chapel Hill and Durham offices organized, stocked, functional, and welcoming. Coordinate office needs, vendors, appointments, deliveries, and services as they arise. Assist with company events, trainings, celebrations, and community initiatives. Help with local errands, pickups, deliveries, and other hands-on needs. Marketing Support Prepare listing-related social media posts and stories, including new listings, open houses, price changes, and other updates. Coordinate recurring listing email campaigns through Rechat. Create and update listing flyers and maintain the Chapel Hill office window display. Assist with other marketing materials and projects using established Inhabit branding and templates. Special Projects & Operations Support A significant part of this role is providing project and administrative support to the Marketing & Community Engagement Manager and Business Operations & Finance Lead. Projects might include researching options, organizing information, creating spreadsheets or forms, coordinating vendors, helping implement a new system, preparing materials for an event, organizing files, following up on outstanding items, or tackling a new administrative need that comes up. Because these projects change, we're looking for someone who's comfortable being given an objective, figuring out what needs to happen next, asking questions when necessary, and helping carry it across the finish line. You'll Be a Great Fit If You... Take ownership. You keep track of your responsibilities and follow them through without needing repeated reminders. Listen for what needs to happen next. In meetings and conversations, you notice decisions, deadlines, and action items and help turn them into action. Follow up. Sending the first email isn't always the end of the task. You're comfortable following up and keeping things moving until there's a resolution. Take initiative. When something needs attention, you investigate it, take an appropriate next step, or ask for help. Pay attention to details. You check your work and make sure dates, locations, names, links, invitations, documents, and other details are correct. Are comfortable figuring things out. You don't need step-by-step instructions for every project. You're willing to research, troubleshoot, and ask thoughtful questions. Use good judgment. You recognize what you can handle independently, what requires approval, and when something needs to be escalated. Communicate. You keep the right people informed when something is delayed, unclear, waiting on someone else, or requires a decision. Can manage competing priorities. You're comfortable balancing recurring responsibilities with unexpected requests and asking for clarification when priorities conflict. Are comfortable with technology. You can confidently use everyday business technology and aren't intimidated by learning a new platform. Enjoy variety. You're comfortable moving between administrative work, marketing, office needs, events, errands, and special projects. Qualifications Strong organizational and time-management skills. Strong written and verbal communication skills. Strong listening, note-taking, and follow-through skills. Comfortable working with Google Workspace and learning new technology. Experience with Canva or similar design tools is a plus. Previous administrative, office, marketing, or project-support experience is preferred. Real estate experience is helpful but not required. Reliable transportation and the ability to travel between our Chapel Hill and Durham offices and complete occasional local errands. Schedule & Work Environment This is a part-time position of up to 30 hours per week with a flexible schedule. We offer flexibility in how weekly hours are scheduled and recognize that schedules may occasionally need to shift. We ask that employees maintain clear communication about their availability and communicate significant schedule changes in advance so the team can plan accordingly. This is a primarily in-person role, with work taking place at our Chapel Hill and Durham offices. Some work may be completed remotely when the responsibilities for that day are well suited for it. Because the position includes office support, meetings, events, errands, and other hands-on responsibilities, the balance between in-office and remote work will vary based on the needs of the business.
