Description We are looking for an Administrative Assistant to support clinic operations in Providence, Rhode Island through a Contract position. This role serves as a key point of contact for incoming calls, frontline administrative coordination, and day-to-day support for staff working in clinic settings. The ideal candidate brings strong organization, sound judgment, and a dependable approach to resolving routine issues while keeping administrative materials and information accurate and up to date.
Responsibilities:
- Manage inbound calls, respond to routine inquiries, and ensure clinic-related questions are handled promptly and professionally.
- Provide on-site and remote support to clinic staff by addressing day-to-day administrative needs during active clinic operations.
- Troubleshoot common tablet issues in the field, including login problems, network connectivity concerns, and application performance challenges.
- Assist with basic support for mobile hotspot devices, including connectivity checks and charging-related issues.
- Escalate complex questions or technical concerns to the appropriate team members when additional expertise is required.
- Prepare, reset, and organize administrative supply bags after clinic events to maintain readiness for upcoming schedules.
- Confirm flu clinic details with hospital contacts and help keep scheduling and operational information current.
- Complete general administrative tasks, including record updates, data entry, and clerical support as needed. Requirements
- Experience in administrative support, office coordination, reception, or a similar customer-facing support role.
- Ability to handle incoming calls professionally and communicate clearly with staff, hospitals, and other contacts.
- Strong problem-solving skills with the ability to address routine issues independently and escalate when appropriate.
- High attention to detail and a reliable work style with consistent follow-through on assigned tasks.
- Comfort using tablets, mobile connectivity devices, and basic office technology for troubleshooting and support.
- Proficiency with administrative tasks such as data entry, information verification, and document handling.
- Ability to stay organized and manage multiple priorities in a fast-paced clinic or healthcare support environment.
