We are seeking a highly organized, resourceful Administrative Assistant to provide administrative and executive support across two businesses: a start-up clean-energy/solar company and a health and wellness company. This position is best suited for someone who can manage a large number of changing priorities, work independently, solve problems quickly, and remain composed when several urgent matters require attention at the same time. Schedule and Location This is a full-time position with a generally flexible schedule of approximately 30-50 hours per week. At least 20 hours per week must be worked between 9:00am to 5:00pm PST. Beyond those business-hour periods, there is substantial flexibility in arranging the remaining work schedule. If you're located in or near Camarillo, Thousand Oaks, Calabasas, Oxnard, Ventura, or the surrounding areas, that would be preferred. And if local, the ideal would be to come onsite in Camarillo approximately 2-3 days per week. Qualified applicants elsewhere in the United States will also be considered for remote work, provided they can reliably conduct business by phone within the United States and coordinate with Pacific Time business hours.
Responsibilities include:
Managing and organizing the calendar of a busy executive overseeing multiple ventures Scheduling, confirming, changing, and tracking appointments, meetings, calls, deadlines, and other commitments Maintaining multiple spreadsheets and administrative records Maintaining detailed travel and flight-itinerary records Organizing and tracking a large number of simultaneous assignments with varying deadlines and levels of urgency Prioritizing tasks when multiple high-priority matters arise at the same time Conducting professional telephone calls and communicating with businesses, vendors, clients, service providers, and other outside parties Researching information and resolving administrative problems as they arise Working extensively with Google Workspace, including Gmail, Google Drive, Google Docs, and Google Sheets Working with Microsoft Office, particularly Microsoft Excel Having the ability to learn unfamiliar software, websites, administrative systems, and business processes quickly Troubleshooting routine technology and administrative issues independently Maintaining organized records and following matters through to completion Assignments may range from matters requiring only a few minutes to projects requiring several hours or multiple days. Strong organizational judgment and follow-through are, therefore, essential. Required Qualifications Bachelor's degree or other completed four-year college degree Excellent computer literacy Strong proficiency with Microsoft Office, particularly Excel Strong proficiency with Google Workspace Excellent calendar-management and scheduling skills Strong written and verbal communication skills Professional and confident telephone manner Ability to learn new systems and technology quickly Strong problem-solving and troubleshooting ability Ability to work independently with limited supervision Excellent organization and attention to detail Ability to remain calm, accurate, and productive when priorities change rapidly Ability to determine what requires immediate attention when several important matters arise simultaneously Reliable follow-through and ability to manage tasks through completion Preferred Qualifications The following are considered strong advantages (though not required): Bilingual or multilingual ability Previous executive assistant, administrative assistant, office management, or operations experience Experience supporting an executive or business owner Experience working with start-ups or rapidly changing businesses Strong interest in clean energy, renewable energy, solar energy, health, nutrition, or wellness Experience coordinating business travel and maintaining detailed itineraries Advanced Excel or spreadsheet-management skills
